Overview
MeetingMemo is a native Mac application developed by Aleksandr Shelestov PR JustOneDev, based in Belgrade, Serbia ("we", "us", "JustOneDev"), and distributed exclusively through the Mac App Store. MeetingMemo is built privacy-first. This Privacy Policy explains exactly what happens to your information when you use the app.
The short version: Your meeting audio is recorded and transcribed entirely on your Mac. It is never sent to a MeetingMemo server. We run no servers that receive your meeting content, and there is no MeetingMemo account. The only times any of your data leaves your Mac are when you turn on iCloud sync (it goes to your own private iCloud) or turn on AI summaries with your own cloud provider key (only the text transcript is sent, to the provider you chose).

Because nearly all of your data stays on your own devices, you are the controller of your meeting content. We act as the data controller only for the limited operational information described below (such as support correspondence and subscription validation). For users in the European Economic Area and the United Kingdom, references to data protection rights are made under the GDPR; for users in Serbia, under the Serbian Law on Personal Data Protection.
Recording & Transcription (On-Device)
Audio from your microphone and your Mac's system audio is captured and transcribed entirely on your device, using on-device engines (Apple SpeechTranscriber or WhisperKit running on the Neural Engine). Raw audio is never transmitted to MeetingMemo or to any third party for transcription. MeetingMemo never starts a recording on its own — every recording requires your explicit confirmation through a pre-meeting prompt.
Local Storage
Your meetings, transcripts, action items, chat, and audio are stored locally on your Mac in a sandboxed app container, alongside human-readable Markdown transcript exports. You can reveal these files in Finder, export them, or delete them at any time. The app is sandboxed and only accesses what macOS permits after you grant permission (microphone, system audio capture, and calendar access).
iCloud Sync (Optional, Your Private iCloud)
If you are signed in to iCloud, MeetingMemo syncs your meetings, transcripts, action items, chat, and audio across your own Macs using Apple's CloudKit private database. This data lives in your private iCloud account, governed by the Apple Privacy Policy. It is never sent to a MeetingMemo server, and we have no access to it. With no iCloud account, MeetingMemo works fully offline and everything stays on that Mac.
AI Features (Bring Your Own Cloud Key)
AI summaries, action items, chat, and optional transcript polishing stay off until you connect your own account with a cloud AI provider (such as Anthropic, OpenAI, or Google) using your own API key. When you enable them:
- Only the text transcript (and, unless you turn it off, calendar attendee names) is sent — never the audio.
- It is sent directly to the provider you chose, using your own API key. We do not proxy, route, store, or see these requests.
- Your API key is stored in the macOS Keychain and is not synced by the app.
- That data is then subject to your provider's own privacy policy and terms, under your own account.
- You can enable "Keep attendee names out of AI requests" in Settings → Privacy to omit calendar attendee names from these requests.
- Live transcript polishing is off by default and only runs if you turn it on with a provider configured.
With no cloud key configured, no transcript ever leaves your Mac, AI features are simply off, and your raw on-device transcript is kept. MeetingMemo does not include an on-device AI model.
Calendar Access
If you grant calendar access, MeetingMemo reads your calendar events (via Apple's EventKit) on your Mac to show today's meetings, link a recording to the matching event, name the recording, and pull attendee names. This information is read locally and is never sent to a MeetingMemo server. Attendee names are only included in AI requests in the cloud-key mode, and only if you leave that option enabled.
Diagnostics
MeetingMemo includes no third-party analytics, advertising, or tracking SDKs. Anonymous crash reporting is off by default; if you turn it on, it uses Apple's MetricKit only and contains no meeting content.
No Account Required
MeetingMemo has no account system of its own. You never create a MeetingMemo account or sign in to use the app.
Subscriptions & the Mac App Store
MeetingMemo is distributed exclusively through the Mac App Store and offered as a subscription (a 30-day free trial, then $19/year). Purchases, trials, billing, and refunds are handled by Apple under the Apple Privacy Policy. Subscription status is validated through RevenueCat, which processes purchase and receipt information to manage your entitlement — never your meeting content. RevenueCat acts as our processor for this purpose; see the RevenueCat Privacy Policy. We do not have access to your Apple ID, payment card details, or billing address.
What Does and Doesn't Leave Your Mac
To make this concrete:
- Stays on your Mac always: raw audio, on-device transcription, calendar reads, and your API keys (in the Keychain). AI summaries and chat are off unless you add your own cloud key.
- Leaves only to your own iCloud, if you enable sync: meetings, transcripts, action items, chat, and audio, into your private CloudKit database.
- Leaves only to a provider you chose, if you use a cloud key: the text transcript (and optionally attendee names).
- Handled by Apple / RevenueCat for billing: purchase and receipt information needed to validate your subscription.
- Reaches us directly only if you contact us: the email address and message you send to support.
Data Retention
- Your meeting content is retained for as long as you keep it on your Mac or in your iCloud. You control it and can delete it at any time. We cannot delete it for you because we never hold it.
- Subscription and receipt data is retained by Apple and RevenueCat according to their own policies and our agreement with them.
- Support correspondence is retained only as long as needed to handle your request and to keep a reasonable record of support history.
Data Security
MeetingMemo runs as a sandboxed macOS application, processes audio on-device, and stores API keys in the macOS Keychain. The limited data that does leave your Mac (iCloud sync, cloud-key AI requests, and subscription validation) is transmitted over encrypted connections to Apple, your chosen AI provider, and RevenueCat respectively. No method of storage or transmission is completely secure, and you are responsible for securing your Mac and your iCloud account.
Children's Privacy
MeetingMemo is intended for professional use and is not directed to children under 16. We do not knowingly collect personal information from children. Because we operate no account system and receive no meeting content, any such information would remain on the user's own device.
International Users & Data Transfers
We are based in Serbia. The limited operational data we handle (support correspondence and, through our processors, subscription validation) may be processed in Serbia, the European Union, and the United States, depending on the location of the relevant provider. Where required, such transfers rely on appropriate safeguards, including the European Commission's Standard Contractual Clauses. Your meeting content is not transferred by us, because it stays on your devices and, at your option, in your own iCloud.
Your Rights (GDPR / Serbia)
If you are in the European Economic Area, the United Kingdom, or Serbia, you have rights over the personal data we control — namely your support correspondence and the entitlement data processed through our providers. These include the rights to access, rectify, erase, restrict, and object to processing, and the right to data portability. The legal bases we rely on are the performance of our contract with you (providing and validating your subscription) and our legitimate interests (responding to support requests and protecting the app).
For your meeting content, you exercise these rights directly within the app and through your iCloud and Apple ID settings, because that data lives in your control rather than ours. To exercise rights over the data we control, email [email protected]. You also have the right to lodge a complaint with your local supervisory authority (in Serbia, the Commissioner for Information of Public Importance and Personal Data Protection).
Your Rights (California / CCPA)
If you are a California resident, you have the right to know what personal information is collected, to access and delete it, and to not be discriminated against for exercising these rights. We do not sell or share your personal information, and we do not use it for cross-context behavioral advertising. The only personal information that reaches us directly is the contact information and message you choose to send when you email support; your meeting content never reaches us.
